Keeping your benefits program on track

Three agreements shape how we work together throughout the year. To make that easy to follow, we've pulled the key dates and touchpoints from all three into one place — so you always know what's coming next, your team's coverage stays accurate, and nothing falls through the cracks. Here's what to expect from us in return, too.

At a glance

Staying on Schedule

A little momentum at the right moments — reporting a new hire, replying to a quick request, glancing at an invoice — keeps everything running smoothly: coverage stays accurate, employees stay protected, and small things never turn into big ones.

3 business days
Fastest turnaround

Acknowledge & respond

A quick reply to Sage's requests — an approval, a document, a missing detail — within 3 business days keeps things moving without delay.

10 business days
Fastest turnaround

Report status changes

Let us know about new hires, terminations, leaves, and qualifying life events within 10 business days so everyone's coverage stays accurate and up to date.

Administration & Indemnification · §4
15th of prior month

New-hire elections due

New-hire enrollment elections are due by the 15th of the month before coverage starts — that gives us time to review everything and get your new hire enrolled smoothly.

Administration & Indemnification · §3
Monthly recommended

Review & reconcile invoices

Monthly invoice review is strongly recommended; quarterly review is the required minimum. Regular reconciliation catches billing and coverage discrepancies before they compound.

Administration & Indemnification · §4
ASAP no fixed window

COBRA & Health Advocate events

Qualifying events for COBRA continuation and Health Advocate eligibility aren't given a specific day count — Sage recommends holding them to the same 10-business-day standard used elsewhere.

Disclosure & Commitment

How Sage is paid, and what it doesn't guarantee

  • Sage may earn commissions, PEPM fees, admin/consulting fees, bonuses, and marketing allowances — disclosed up front.
  • No compensation on HSA/FSA/HRA, COBRA admin, or Section 125 plan documents unless separately disclosed.
  • No guaranteed outcomes on rates, underwriting, or claims decisions.
  • Governed by Idaho law.
Administration & Indemnification

How responsibilities are shared

  • Client indemnifies Sage for administration failures, missed deadlines, eligibility errors, and unauthorized plan exceptions.
  • Client bears the financial cost of late reporting or unreconciled invoices — Sage doesn't share in it.
  • Sensitive data must move through Sage's secure channels; no automatic HIPAA Business Associate relationship.
Supplemental Services

Value-adds, not guarantees

  • COBRA administration, Health Advocate, HR support, and similar services are voluntary — not a guaranteed plan benefit.
  • Sage may add, modify, or discontinue any supplemental service at its discretion.
  • Independent providers behind these services may require their own separate terms.

Thank you for the opportunity to serve you

We're grateful for your continued trust in Sage Benefits, and for the chance to support you and your employees — through renewals, day-to-day questions, and everything in between.
